Welcome to our exhibitor manual for the Lancashire Catering & Hospitality Expo 2012.

As always it includes all you need to know about exhibiting at the event.
We hope that you enjoy the event and your experience of exhibiting will be productive and enjoyable.
Please ensure you read the Health & Safety Information and your contractors and staff are aware of their responsibilities.

Please be aware that the Exhibition closes at 16.30hrs on Thursday 1st March. You are minded that stands must not be broken down before this time for the following reasons;
  • Health & Safety considerations
  • You risk being fined – see terms and conditions
  • Your organisation will be poorly represented to visitors at the event

It is the Exhibitors responsibility to organise couriers to uplift any materials after the Exhibition has closed at 16.30hrs.
Please be advised that there is no on-site storage available and all Exhibition areas must be cleared at the end of the event. Exhibitors must ensure that all waste material is removed otherwise a charge will be incurred.

To help with your organisation the table below shows a list of all deadlines. Please note to avoid disappointment and any surcharges we advise that all forms are completed and by the deadline. Late orders will incur additional charges \(as specified on the order forms) to reflect the extra cost incurred by the organisers. There is a risk that any services booked late may not be available as this may be beyond the organiser's control. In the event that you have to cancel due to not having services no refund will be made.

MARKETING TASKS

We will automatically send you 100 visitor tickets free of charge. You can order additional tickets (there is no limit to the quantity you can request). Mail them out with order confirmation, new brochures, invoices, etc. Ensure that your team have them with them on visits to invite customers to see you at the show.
The quickest and easiest way to invite your customers to see you at the show is to send them an e-ticket. Using a specially created web link, you will be able to email your database a personal invitation to your stand. Your clients will be able to link directly to the website and register to attend, knowing that your company invited them and which stand they can find you on.

Admission to the exhibition is for bona fide trade visitors ONLY and will be free of charge. Babies and Children will not be admitted. The open period of the exhibition is;

CAR PARKING

The Norbreck Castle has free parking for up to 800 vehicles.

CARPET

If you wish to lay carpet on your stand please contact Consortium of Events & Tourism on 01253 808033 for samples, prices and general advice. NB: When fixing your own carpet, please note that only tape which does not mark the floor is permitted. All carpet tape must be removed during breakdown and a dilapidation charge of £15.00 + VAT per linear metre will be levied for any stand not complying to this.

CHILDREN

Under Health & Safety regulations in force at the venue no person under the age of 16 will be admitted during the build up or breakdown. This rule applies to contractors and exhibitors' children. Children have been hurt at exhibitions and this restriction has been imposed to eliminate this happening. Please ensure you staff and contactors are aware of this rule.

CLEANING

All exhibitors will receive stand cleaning during the exhibition. Basic cleaning will involve vacuuming, wiping of all available floor areas and removal of waste materials which should be in plastic sacks/bins and placed in the gangways as soon as the exhibition closes for removal by the venues cleaning team. Under no circumstances should refuse be placed in the gangways other than in plastic sacks or bins.
However, please note that cleaning does not include the cleaning of actual exhibits. If you do not wish your stand to be cleaned, please advise the show organisers prior to the event commencing.
Exhibitors will be charged for any items left behind.

DELIVERY & COLLECTION OF EXHIBITS

At every exhibition one of the regular problems is deliveries arriving at the venue before the exhibitors themselves. We must insist therefore that exhibitors having goods delivered by an outside contractor must have a representative on their stand to receive their goods. Under no circumstances can the organisers or Norbreck Castle sign for or take responsibility for deliveries before the start of the event. Deliveries and collections are only permitted from Monday 27th February. We do advise you to use recorded delivery, so that a signature is obtained. Courier companies must have the full contact details for the recipient of the package; show name, contact name & mobile number.

DILAPIDATION

You are reminded that you will be charged for making good any damage to the hall or stand area, including the floor, caused by your staff or contractors. All tape used to secure items must be removed at the end of the exhibition.
Under no circumstances can stand construction, graphics, displays, etc. be attached to the fabric of the building.

DISABILITY DISCRIMINATION ACT

It is important that exhibitors consider how the DDA impacts on the way you present your stand and products. You should take appropriate advice on the full extent of your obligation under the DD. The following websites provide useful information about the DDA and its implications;

DISTRIBUTION OF PROMOTIONAL MATERIAL

The distribution of leaflets or any other promotional activity may only be conducted from your stand and is not permitted in any other areas of the halls.

ELECTRICAL FITTINGS, SUPPLIES & INSTALLATION

All electrical work on site must be carried out by the appointed contractor, Midas Display Limited and no other electrical contractor will be allowed to work in the exhibition areas. All electrical requirements can be ordered by completing the Order Form indicating the required positioning of electrical fittings on each stand.

ELECTRICAL EQUIPMENT/APPLIANCES

Any electrical equipment or appliances brought to the exhibition must be accompanied by a valid certificate of testing within the previous 12 months. Faulty or old electrical equipment can affect the stand power supply. For further details of permitted equipment please refer to the Fire & Safety Precautions.

FIRST AID

First Aid will be on site from Monday 27th February until Thursday 1st March.

GANGWAYS

Under no circumstances will exhibits, stand dressing, tables and chairs, etc. be allowed to encroach into the gangways. All exhibits must be kept inside your space at all times.

GAS

Liquid petroleum gas (LPG) is prohibited on the premises at all times.

HEALTH & SAFETY

It is essential that all exhibiting companies read the Health & Safety Information. All exhibitors must return the Health & Safety Declaration Form together with a copy of their Public Liability Insurance and undertake a Risk Assessment inc. Fire Risk Assessment Form. Exhibitors who fail to complete this paperwork will be excluded from the show.

INSURANCE

Please note that our terms and conditions require exhibitors to hold Public Liability Insurance. This protects you against legal claims for accidental injury to third parties and/or for damage to third party property. This is not the same as Employers' Liability insurance. You may already have Public Liability insurance however, not all business policies cover event taking place outside your business premises. If in doubt you should consult your insurance provider.
BP Insurance can arrange Public Liability, Employers Liability, Cancellation and Abandonment and Property covers for both exhibitors and event organisers.
Please send through a copy of your public liability insurance along with your Health & Safety Declaration Form.

LADDERS & PLATFORMS

In accordance with the Provision and Use of W ork Equipment Regulations 1998 (PUWER) all ladders and steps that are used in the halls must conform to BS EN 131 and BS 2037 Class 1; Industrial. The use of "light trades" and "domestic" grade ladders and steps is prohibited and any such ladders and steps will be removed from the hall. The Provision and Use of Work Equipment Regulations require that employer supplies work equipment that is safe and suitable for the job, ensures that the equipment is maintained and kept in good order, and that employees are properly trained in its use.

Safe working platforms are to be provided wherever possible. Ladders are not suitable as a working platform for long periods of work (in excess of 15 minutes). Where there is a risk of falling 2 metres or more from any platform, access route or stairway, guard rails or other suitable barriers are to be provided, this includes part erected or dismantled structures. Scaffolds and working platforms shall be in accordance with the Construction (Health, Safety and Welfare) Regulations 1996 and HSE guidance notes. The suspension of stand fittings or lighting fittings for exhibition stands from the structure of the venue roof will not be permitted.

LOST PROPERTY

Any lost property should be handed into the Norbreck Castle Reception Desk. The items will be held for 3months and then disposed off.

MACHINERY & APPARATUS

All running machinery and other working apparatus intended to be operated must be fitted with guards or other means of protection to the satisfaction of the venue and relevant authorities. Such machinery or apparatus must only be demonstrated or operated by persons authorised by the exhibitor, and must not be left running in their absence.

NOISE

The use of microphones, videos or music is permitted, but the volume must not be such to cause any annoyance to other exhibitors. The Organisers reserve the right to prohibit their use if, in the Organisers' opinion, any annoyance is being caused, and remove the offending equipment. (See also Performing Rights).

OFFICE

The Organisers' Office is situated at the end of the Foyer corridor opposite to entrance/exit 3 and will be staffed from Monday 27th February to Thursday 1st March.

PAYMENT

Exhibitors are reminded that stand space is only held against full and prompt payment, as per the Terms and Conditions of the exhibition. Any exhibitor who has not paid by this date will not be admitted to the show.

PERFORMING RIGHTS

If you intend to play pre-recorded music on your stand, you will need a Phonographic Performance Ltd (PPL) licence and Performing Rights Society (PRS) LICENCE. If live music is being performed you will require a PRS licence only. Applications will not be accepted from individual exhibitors as orders will have to come through the Organisers only. REMOVAL OF EXHIBITS – "BREAKDOWN"

1. No goods can be removed from the exhibition hall until after the close of the show at 16.30hrs on Thursday 1st March. In addition, all access points will also remain closed until that time. For safety reasons the electricity supplies will be cut off from 17.00hrs onwards unless exhibitors make special arrangements for their stands with the Organisers.

2. Exhibitors and contractors have until 23.59hrs on Thursday 1st March to clear their stands entirely, as our tenancy ends on this day.

RISK ASSESSMENT

Each exhibitor's Health & safety representative is responsible for undertaking a suitable and sufficient risk assessment (including fire risk assessment) before the exhibition, the Risk Assessment Form (inc. Fire Risk Assessment) Space Only Exhibitors is to be completed by Space only stands and Risk Assessment (inc. Fire Risk Assessment) Shell Scheme Exhibitors by shell scheme stands. This is to help identify hazards and present on-site and ways in which you will then minimise and controls those hazards.

RULES & REGULATIONS

It is imperative that you read them so you are aware if your responsibilities as an exhibitor at the exhibition.

SECURITY

The organisers will not be held responsible for any loss or damage to exhibitor's property. EXHIBITORS ARE WARNED NOT TO LEAVE VALUBLES UNATTENDED ON THEIR STANDS WHETHER DURING THE BUILD UP, OPEN OR BREAKDOWN PERIODS. Special care should be taken of laptop computers and mobile phones as these can be easily stolen. In the event of loss or damage, the organisers should be informed immediately.
NB: Please report any theft or suspicious incident to the organisers immediately.

SMOKING

Unfortunately, as space is very restricted in the halls there are NO storage facilities available for packing material and crates. Should you wish to arrange storage please contact the organisers.

TROLLEYS

Exhibitors are advised to bring trolleys for build up and breakdown as they are NOT provided by the organisers. Trolleys cannot be used during the exhibition open period.

VEHICLES DISPLAYED ON STANDS

All petrol-fuelled motor vehicles or other petrol engine equipment fitted with a fuel tank including plant or machinery, must comply with the following;


Any vehicle not complying with these regulations will be removed immediately. Please nominate a named individual who will be present to check these regulations have been adhered to.

LABOUR & RELOCATION INFORMATION

Exhibitors must set up, operate and dismantle their own equipment using their own staff and employees.

Stand Relocation
CET reserves the right to assign stand space in areas other than those selected by the exhibiting company. Relocations will be made only after consultation with the exhibiting company.

SHELL SCHEME EXHIBITORS

This form should be sent directly to CET Limited, together with a sketch plan indicating the required positioning of electrical fittings on each stand.

NAMEBOARDS & STAND NUMBERS
Exhibitors will be supplied with one name panel on the front of their stand. Please return the Name board order form before the requested date to confirm the exact company name that you wish to be referred to at the show. If exhibitors wish to have special sign writing, the organisers must be notified and arrangements should be made directly with the organisers at the exhibitor's own expense.

SHELL SCHEME

SPACE ONLY EXHIBITORS

Please find below important information that is specific to space only exhibitors.

When planning you stand design please take into consideration the available working hours you have complete your stand. It is imperative that you work to the timetable shown below:

HEALTH & SAFETY INFORMATION

This information is designed to help exhibitors and contractors understand their legal obligations and submit the relevant paperwork. It is ESSENTIAL to read it carefully.

EXHIBITORS' LEGAL RESPONSIBILITIES

The Exhibition Industry and those within it are subject to UK Law, primarily the Health & Safety at Work, etc. Act 1974 (HASAWA74). Organising and running an exhibition counts under law as a 'work activity'. Each stand is legally its own separate workplace with its own hierarchy of responsibility and control measures. Each employer (eg. Exhibitor, stand contractor, organiser) has a 'duty of care' to ensure, so far as is reasonably practical, the health, safety and welfare at work of all their employees – and other people not directly employed by them (eg. visitors, contractors) – who may be at risk as a result of their work activities during the exhibition. This 'duty of care' involves:

  1. Communicating, co-ordinating and cooperating with other employers at the exhibition
  2. Providing and maintaining plant and systems of work that are safe and without health risk
  3. Arrangements for the safe use, handling, storage and transport of articles and substances
  4. Providing information, instruction, training and supervision as necessary for Health & Safety
  5. Maintaining any place of work under your controls in a safe condition including access an egress
  6. Providing a working environment with adequate welfare facilities that is safe and without risks
  7. Having a suitable and sufficient Safety Policy specifically for the exhibition

Therefore EVERY exhibiting company must appoint a Health & Safety Representative to ensure the implementation of the above both the exhibition and on-site. It is ESSENTIAL you complete the Health & Safety Declaration Form submitting this representative's details to the organiser. These need to be accompanied by a copy of your Public Liability Insurance.

RISK ASSESSMENTS (INC. FIRE RISK ASSESSMENTS)

Each exhibitor's health & safety representative is responsible for undertaking a suitable and sufficient risk assessment before the exhibition, identifying the hazards present on-site and ways in which you will then minimise and control those hazards. Please refer to the Risk Assessment Form (either Shell Scheme or Space Only stands).

EMPLOYING EXTERNAL CONTRACTORS

It is the exhibitor's responsibility to define exact areas of responsibility between themselves and their contractors prior to coming on site. They must especially check that their contractors are competent ad have undertaken a suitable and sufficient risk assessment, along with a method statement, usually undertaken together with the exhibitor. This does not apply to the official contractors appointed by the organiser, as the organiser has already checked risk assessments and method statements from them.

CONTRACTORS' RESPONSIBILITIES

Contractors must ensure the health, safety and welfare of any persons that their (or subcontractors) work practices affect, including those on adjacent stands, aisles or public areas. The condition, maintenance and correct use of tools, plant and machinery, training, supervision and competence of staff are also the responsibility of the individual Contractors as set out in HASAWA74. The principal contractors must supply their client (the Exhibitor) and the organiser with suitable and 24 sufficient risk assessment and method statements whenever possible. These should be produced pre-show meetings and may also need the input of the stand designer and other specialists as deemed necessary by the contractors. Contractors should make available on site any Inspection or Insurance Certificates for plant and equipment or Certificates or Competence for operators.

VENUE FIRE REGUALTIONS

Each exhibitor and contractor must ensure they adhere to the rules and regulations of this manual regarding permitted and prohibited material & exhibits. Please refer to the Fire & Safety Precautions below.

FIRE & SAFETY PRECAUTIONS

Fire points are located in the exhibition areas.

Exhibitors are reminded of the stringent regulations governing materials used on site during an exhibition.

Decorative materials used for stand dressing must be flame proofed or purchased already treated by the use of the appropriate chemical.

Artificial plants and flowers are combustible and give off toxic-proofed. Otherwise they may be treated with a proprietary flame retardant. Test certificates must be available for inspection for any materials intended to be used.
Fabrics used for interior stand decoration must be fixed taut and/or in tight pleats (not loosely draped) to a solid backing, secured above floor level and not touching light fittings.

All plastic, including plastic plants and materials used for vision panels, etc, must conform to BS476-Part 7, Class 1. Polycarbonate materials are acceptable.

EMERGENCY PROCEDURES

YOUR RESPONSIBILITIES
It is your responsibility that you and your team are aware of the security and fire procedures while at the Norbreck Castle. Thank you in advance for taking the time to read this important information, which is designed to protect you and the safety of others.

CHECKING YOUR AREA
It is important to make frequent checks around your area to ensure that no unidentifiable packages, cases or bags have been abandoned. If you find anything, please do not touch the article but call/contact the venue. When leaving your area each night or in the event of evacuation, please ensure that;

OFFICIAL PASSES
During build-up, open and breakdown, of the exhibition, admittance may be refused to anyone who cannot produce an official pass. Please ensure that you and your team carry at all times.

EMERGENCY ANNOUNCEMENTS
During your visit, should a fire incident occur you will hear an alarm commence to peep intermittently. This is intended to alert you to the fact that there is a possible problem in or around the building. Should evacuation become necessary, the noise will change to a high-pitched, continuous siren. At this point, an announcement will be made via the platform. Please leave the building by the nearest available fire exit, without stopping to collect any personal belongings.

EVACUATION PROCEDURES
If it becomes necessary to evacuate the building, the following If evacuation is necessary, everyone must leave the building for their own safety. Once outside please follows the instructions of Venue staff who will direct you to the nearest assembly area.

FIRE PROCEDURES
The Norbreck Castle is protected by a sprinkler systems and fire extinguishers. In the event of a fire emergency:

It is necessary to be vigilant for theft of property. If items cannot be watched it is important that they re properly secured.

TRAFFIC NOTICE
Accessibility and traffic flow must be maintained at all times. Illegally parked vehicles will be removed.

TRAVEL INFORMATION

From Motorway
Leave the M55 at Junction 4, signposted Blackpool North Shore. At traffic signals travel straight ahead, sign posted North Shore A573 to Blackpool. As you enter Blackpool, head for the Promenade passing Blackpool Tower and the Metropole Hotel. At the traffic signals, (sign posted Cleveleys – Fleetwood) continue forward for approximately 3 miles. The Norbreck Castle is situated on the right hand side.

From Blackpool North Train Station
From the Train station enter Blackpool centre at the traffic lights towards the Promenade (passing the Bus Station). Continue straight over a mini round to a T-Junction. Turn right onto Queens Promenade (passing the Metropole Hotel). At the traffic signals (sign posted Cleveleys – Fleetwood) continue forward for 3 miles. The Norbreck Castle is situated on the right hand side.

RULES & REGULATIONS

"The Organisers"    means Consortium of Events Limited (CET)
"The Premises"`    means Norbreck Castle, Blackpool

AMENDMENT OF RULES
The Organiser reserves the right to waive, alter, add to, or amend any of these Rules & Regulations. Should any question arise, whether provided for in these Conditions or not, the decision of the Organiser shall be final. No alternation, addition, amendment or waiver to or of these Rules and Regulations shall operate to release any Exhibitor from his/her contract. The descriptive headings to these Rules and Regulations are merely for reference and do not form part of the Contract between the parties.

APPLICATION OF RULES & REGULATIONS
a. Each exhibitor is bound in all respects by these Rules and Regulations and in addition shall be bound by and comply with and be deemed to have full knowledge of; the regulations of the Landlords for the use of the Exhibition premises or of the plant in connection therewith by exhibitors and others that are in force at the time of the Exhibition. These regulations may be inspected at the offices of the Landlords or at the Organisers' offices.

b. Each exhibitor must bring to the notice of all agents or contractors employed by him/her such of the provision of these Rules and Regulations as may affect such agents and contractors, and any claim arising from the failure of the exhibitor to give such notice shall be the sole responsibility of the exhibitor concerned.

c. Should any question arise whether provided for in these Rules and Regulations or nor the decisions of the Organiser shall be final.

d. The Contract to Exhibit form is subject to and does not vary these Rules and Regulations.

DURATION OF EXHIBITION
Details of Exhibition hours are given in the Organisers' Exhibition Manual; during these times stands must be manned by Exhibitors' staff.

CONTRACT REQUIREMENTS

ALLOTMENT OF SPACE


OCCUPANCY

  1. A site may be occupied only by the exhibitor to whom it has been allotted and by his accredited agents as approved by the Organisers.
    1. No exhibitor may sub-let his/her space or any part thereof
    2. No exhibitor may permit any non-exhibiting firm or its agents or representatives to use for any purpose whatsoever any space allotted to the exhibitor
  2. An allocated space must be adequately occupied by the exhibitor to whom it is allotted. The Organisers reserve the right to take over and clear at the exhibitor's expense the stand fittings and Exhibits from the whole or any part of a space which they regard as being unsuitable or inadequately occupied. Any payment made or due in respect of such space will be fortified, and the expense of filling the space will be payable by the exhibitor.
  3. An exhibitor's occupancy of a site does not preclude the right of access on to the site by representatives of the Organisers or any other competent authority.
  4. Each exhibitor exhibits entirely at this own risk. The Organisers are not liable for any loss or damage to persons or property. Which the exhibitors, agents or contractors may sustain from any, cause whatsoever. (Exhibitors are recommended to insure themselves against contingencies.)

SPACE NOT OCCUPIED
The Exhibitor must occupy the space allocated to him by show opening times on the first day of the Exhibition. Any Exhibitor failing to do so will be deemed to have cancelled his/her space booking. In this event the Rules and Regulations relating to Cancellation will apply and the Organisers may resell or reallocate such space.

CANCELLATION OR DEFAULT BY THE EXHIBITOR
a. An Exhibitor is not at liberty to cancel without penalty or withdraw his/her application for space once it has been allocated. Cancellation charges as stated in the Terms of Contract to Exhibit will apply. Refer to the reverse of the Contract to Exhibit.
b. If the Rules and Regulations shall fail to pay any sum due to the Organisers or shall contravene or fail to observe any of the requirements of the Rules and Regulations, the Organisers reserve the right to revoke his/her allotment of space and to remove and exclude the exhibitor, his/her agents and property at this expense from the Exhibition premises and to re-allot the space. Such actions from the Organisers shall not prejudice any other remedy which they shall have against the exhibitor nor reduce the amount paid or owing by him/her.
Whilst the Organisers shall act in good faith, the name of any exhibitor which may appear on any floor plan or stand number of any statement made by or on behalf of the Organisers that any exhibitor is booked to attend any Exhibition provisionally or otherwise shall not constitute any warranty representation or undertaking by the Organisers that any such exhibitor shall attend any Exhibition or attend at any particular location.

RIGHT OF REJECTION
Exhibits are admitted to the exhibition, and shall remain there, solely on strict compliance of the Rules and Regulations. The Organisers reserve the right to prohibit in whole or in part and reject any Exhibitor or his/her representatives in the case of failure to comply with the Rules and Regulation. There shall be no return on payment if the Organisers deem such rejection or prohibition necessary.

ATTENDANCE
The Exhibitor acknowledges that the Organisers shall not be held responsible for the failure of all or any other contracted exhibitions to attend the Exhibition or the failure of any number of attendees to attend the Exhibition for any reason beyond the reasonable control of the Organisers.


STAND DESIGN & INSTALLATION


INSTALLATION & DISMANTLING

INSTALLATION

  1. The arrival, installation, erection and removal of stand fittings and exhibits must conform to the timetables, or to specific directions by the Organisers.
  2. If during the installation period an exhibitor's site is not required in the Exhibition timetable the Organisers may treat the space as inadequately occupied or in default.
  3. During the Exhibition period exhibits or material may be brought onto or removed from stands, and maintenance or repair work carried out, only when the premises are closed to visitors and then only subject to the permission of the Organisers.

ERECTION OF STANDS

  1. The Exhibitor hereby acknowledges that the Organisers have appointed official stand contractors and where directed by the Organisers the Exhibitor must use the same for the construction of the exhibitor's stand. However, an Exhibitor may be permitted to appoint another contractor recognised by the Organisers for interior work to the shell scheme subject to the Organisers; written consent being obtained. A dimensioned drawing and full details of the Organisers' shell stand will be provided to each Exhibitor. No Exhibitor will be permitted to erect his/her display goods in such a manner as in the opinion of the Organisers obstruct the light or impede the view along the open space or gangways or to occasion inconvenience or otherwise affect the display of other exhibitors.

DISMANTLING

  1. Exhibitors may not remove any exhibits or stands from the Exhibition until 15 minutes after the Exhibition finally closes.
  2. Any property remaining after the end of the dismantling period may be removed and sold otherwise disposed of by the Organisers at the expense of the exhibitor.
  3. Each exhibitor must arrange and pay for the conveyance of goods to and from his site in the Exhibition, for their reception and installation and subsequent removal and disposal.
  4. Each exhibitor must remove from the site all stand construction material and debris. Failure to do so will incur charges that will be re-allocated to the exhibitor concerned.

ADMISSION TO EXHIBITION PREMISES

    1. Exhibitors must obtain from the Organisers the necessary passes to admit their executives, representatives and workman during the Installation, Exhibition and Dismantling Periods.
    2. Contractors must also obtain similar passes direct from the Organisers.
  1. Any persons bringing goods into or removing goods from the Exhibition premises shall be in possession of evidence of his authority for doing so.
  2. The Organisers reserve the right to refuse admission to the Exhibition premises to any contractor or sub-contractor not previously approved by them.

DISPLAY

EXHIBITS PERMITTED

  1. The Exhibition is open for the display of services and products for companies working in the catering and hospitality industry.
  2. Exhibitors may display only exhibits manufactured by themselves or by an associated or subsidiary company or by a company for which they are the wholesalers, agents or distributors
  3. The Organisers reserve the right at their sole discretion to refuse and if necessary remove at the exhibitor's expense any exhibit which they consider to be a breach of these Rules and Regulations, detrimental to the proper and smooth running of the exhibition or for which there is sufficient accommodation or which in the opinion of the Organisers or of the Landlords is likely to be dangerous or detrimental to the fabric of the premises.

DISPLAY OF EXHIBITS

  1. All exhibits must be on view at all times that the Exhibition is open to visitors. The Organisers reserve the right to remove the cover of any exhibit not uncovered during the period, and shall not be responsible for any loss or damage caused in so doing.
  2. There must be a competent representative of the exhibitor in charge of exhibits at all times that the Exhibition is open to visitors.
  3. The Organisers reserve the right to prohibit as unsuitable or as annoying to visitors or other Exhibitors:-any display feature or advertising material, or any sales method or demonstration which is causing offence.

GENERAL STAND REQUIRMENTS

  1. Height
    Stand fittings and structure must not exceed 4 metres in height without permission from the Organisers which will not normally be withheld provided that structures do not interfere with the structure of the premises or obstruct the view of other stands.
  2. Boundaries
    1. No part of any stand or exhibit may overhang any gangway or exceed the allotted boundaries of a site.
    2. Exhibitors must make their stand fitting contractors responsible for confirming the accuracy of the marking out of the site boundaries.
    3. Exhibition space not provided with shell stands should be clearly defined and the exhibits arranged inside the stand boundary.
    4. Floor coverings shall be properly secured or weighted along with edges.
  3. Signs and Fascias
    1. The standard shell scheme will provide for the Exhibitor's company name and stand number only to be painted on the fascia to a standard design. If exhibitors wish to have a special signwriting, arrangements should be made directly with the Organisers at the exhibitor's own expense.
    2. Exhibitors must include their stand letter and number on the fascias unless they occupy a site with standard shell, when it is provided.
    3. No signs may be hung from the roof of the premises or the fabric of the building without the permission from the organisers.
    4. The Organisers reserve the right to prohibit flashlights, etc. which are causing annoyance.
  4. Access to Services Wherever electric or other service boxes or outlets exist, suitable traps or panels must be provided in the floor or walls of the stand to give access to such services at any time.

ELECTRICS AND FITTINGS

  1. All electrical work on site MUST be carried out by the contractor, and no other electrical contractor will be allowed to work in the Exhibition area. Only the authorised electrical contractor may make connections into the permanent distribution boxes and the Organisers will charge the exhibitor the cost.
  2. Exhibitors may use only electricity for all lighting purposes. The use of other forms of power is prohibited except where such use if first approved in writing by the Organisers.
  3. All electrical installations must comply with the regulations and requirements currently in force of the Institution of Electrical Engineers. Of the Landlords and their insurers, and of any other competent authority. Exhibitors requiring supply other than as shown in the booking form should apply in writing to the Organisers.

FIRE PRECAUTIONS

  1. All materials used for building, decorating or covering stands must be of non-flammable material. Exhibitors will adhere to all Fire and Safety Regulations that affect the Exhibition. Aisles and fire exits must be kept clear of exhibits.
  2. Each exhibitor must use there is at least one person on his/her stand, whenever the Exhibition is open to visitors, who knows how to use the fire extinguishers and knows the location of the nearest fire alarm within the Exhibition premises.
  3. Additional fire protection must be provided wherever required by the Organisers or any other competent authority.
  4. No petrol, spirit or other liquid or vapour with a flash point lower than 130 Fahrenheit (54C), and nothing of an explosive or dangerous nature is to be brought within the premises.
  5. No exhibitor may do or permit anything that would vitiate or affect the fire or other insurance policies or licences covering the Exhibition and the Exhibition premises.

EXHIBITS IN MOTION

  1. Exhibitors may not operate any mobile or moving equipment or exhibits without the approval from the Organisers.
  2. Machinery in motion must be safely guarded at all times to the satisfaction of the Organisers.
  3. The Organisers reserve the right to prohibit the operation of machinery and of demonstrations which, in their opinion, are causing or may cause annoyance to other exhibitors or to visitors.


STORAGE
The Exhibitor shall be responsible for the removal from the Exhibition premises and storage of allc rates and empty cartons not required on his/her stand.

WATER AND WASTE SERVICES

  1. An exhibitor may have water or waste connections only if the necessary service points are available on or near this stand.
  2. Where it is necessary to lay pipes across gangways in order to provide water and waste services, the exhibitor is responsible for arranging such pipes adequately and ramped to meet the approval of the competent authority and for bearing the cost of such work.

EXHIBITING CONDUCT & INSURANCE

  1. Annoyance: The Organisers reserve the right to stop any activity on the part of an Exhibitor that may cause annoyance to other Exhibitors or visitors. Business must be conducted only from the Exhibitor's own stand and under no circumstances may this be carried out from a gangway or elsewhere in the exhibition.
  2. Microphones: The use of Microphones is permitted, but the volume must not be such as to cause any annoyance to other Exhibitors. The Organisers reserve the right to prohibit their use if in the Organisers' opinion an annoyance is caused.
  3. Gangways: Any encroachment upon gangways and passages shall be deemed to be a breach of contract and articles or goods found therein during the period of the Exhibition may be removed by the Organisers or their agents and the Organisers shall not be responsible for any loss thereto occasioned by such removal.
  4. Publicity Material: Any publicity material shall be displayed and/or given away only from the Exhibitor's own stand.

DAMAGE TO EXHIBITION PREMISES

  1. No exhibitor may do or cause any damage of any kind to the Exhibition premises or to any of the fixtures and property belonging to the Organisers or to the Landlords or their agents. No exhibitor may alter or interfere with the structure of the Organisers and of the Landlords.
  2. Any damage which may have been done or caused by the exhibitor or his agents or contractors to the Exhibition premises or to any fixtures or property belonging to the Organisers or the Landlords shall immediately be made good at the exhibitor's expense to the entire satisfaction of the Organisers or the Landlords.

INSURANCE LIABILITY
Neither the Organisers nor the Hall owners will be held responsible for the safety of any exhibit or property of any Exhibitor, or any other person, for the loss or damage of, or destruction to same, by theft or fire., or any other cause whatsoever, or for any loss or damage whatsoever sustained by the Exhibitor by reasons of any defect in the building caused by fire, storm, tempest, lightening, national emergency, war, labour dispute, strikes or lock0outs, civil disturbances, explosion, inevitable accident, force majeure, or any other cause not within the control of the Organisers whether ejusden generis or not for any loss or damage occasioned if by reason of the happenings or any such event, the opening of the Exhibition is prevented or postponed or delayed or abandoned, or the building becomes wholly or partially unavailable for the holding of the Exhibition. The Exhibitor agrees and undertakes to ensure in their full replacement value the contents of his stand and all associated ancillary equipment and materials.

LITERATURE DISTRIBUTION
Exhibitors may distribute literature, which should bear their name and address, describing their own products or those of their principles or licensors. Distribution may only take place on their own stand.

They may not hand out leaflets, importune or solicit for orders in any way in the gangways, and attention may not be drawn to stands by the use of loud speakers or any other kind of mechanical instrument or by machines, noisy exhibits or shouting.

Exhibitors using any form of visual or vocal apparatus on their stand must not cause annoyance to other Exhibitors or visitors.

In the event of their creating too many disturbances the Organisers, reserve the right to ask the exhibitor to limit or event cease such activities.

  1. In the event of any abandonment, postponement or limitation of the Exhibition, any limitation of the use of the premises or any part thereof. Or nay failure of the services provided therein, an exhibitor or his/her agents or contactors shall have no claim against the Organisers in respect of any resulting loss or damage and the exhibitors liabilities shall not be affected.
  2. The Organisers shall reserve the right to alter the layout of the exhibition or reduce the space allotted to any exhibitor whose stand area is affected by such alteration or reduction but will not be liable to make any further payment or compensation and the exhibitor will not be entitled to withdraw from the exhibition.
  3. The Organisers accept no responsibility if delivery of goods and materials or the execution of work is held up or prevented by any cause beyond their control, including without prejudice to the generality of the foregoing:
    1. strike, lockout, labour disturbance or restriction;
    2. failure by the exhibitor or any third party to observe any of the provisions of the National Labour Agreements for the Exhibition Industry copies of which will be supplied to the exhibitor on request;
    3. failure by the exhibitor, his agents or contractors to give instructions or supply the necessary drawings in due time.
  4. If for any reason whatsoever beyond the reasonable control of the Organisers, including without prejudice to the generality of the foregoing, trade union action, the Organisers decide that in the interest of the exhibition as a whole an exhibitor's stand must be closed down or certain items removed from it, the exhibitor or his agents or his contractors shall close down or remove the same shall have no claim against the Organisers in respect of any resulting loss or damage and the exhibitor's liabilities shall not be affected.
